Create one record for each roof
Use a roof plan or simple building diagram to label sections, drains and recurring leak locations. Store photos, repair invoices and warranties with that record. Consistent labels prevent different service visits from describing the same location in different ways.
Separate authorization from observation
Define who reports leaks, who grants access and who can approve spending. Provide the roofing company with those contacts before a visit. An assessment can then produce recommendations without accidentally becoming an open-ended repair authorization.
Standardize bid information
Give bidders the same roof area, known assembly, operating restrictions and desired outcome. Ask for itemized exclusions and concealed-condition pricing. Comparing equivalent scopes is more useful than collecting totals that solve different problems.
Plan beyond the immediate leak
Request a prioritized condition report and use it to distinguish maintenance, targeted repairs and capital replacement. For portfolios, group visits when practical but maintain a separate scope and warranty record for each property. Track completed work against the original recommendation.
